Should an equipment handover form include photos?

Photos are strongly recommended when condition matters, especially for vehicles, machinery, rental equipment and high-value electronics. They supplement the written inspection by showing the item's visible condition at a specific handover, but should not replace clear written notes.

  • A full view from each side of the item.
  • The serial number, asset tag or registration plate.
  • Close-ups of existing scratches, dents, cracks or missing parts.
  • Odometer, hour-meter, fuel, battery or warning-light readings.
  • Accessories laid out together where practical.

Keep photos connected to the form

Use a consistent filename or photo number, refer to it in the condition section and store it with the signed form. Preserve the original files and limit access where photographs could contain personal or confidential information.
