A register your team can use

Connect the equipment list to everyday work.

A list of purchases tells you what the business owns. A working equipment record also tells you what has been issued, what came back and what needs attention. EquipLoop brings those details together so the next decision starts with a record your team can check.

Build a useful equipment register

Keep equipment names, categories, manufacturers and models together. Give individual physical items their own asset tags, serial numbers, recorded locations and condition so identical items can be managed separately.

Make responsibility visible

Issue an available item to a named person and record the issue date, expected return and condition. Keep current assignments separate from earlier handovers, so the next person checking the record can see who holds it now.

Organise recorded locations

Use locations for stores, offices and sites. Record a location transfer when an individual item moves. A person's responsibility and the item's recorded location are separate details, giving your team two useful ways to find the right record.

Keep condition separate from availability

An assigned item and a damaged item answer different questions. Record physical condition as well as operational status. A poor or damaged individual-item return moves that item to maintenance status for attention.

Open the right record with a QR code

Generate a QR code for an individual equipment unit. Scan it to open its record, review the current details and use the actions available to your account. Authorised users still record the issue, return or transfer.

Follow the equipment's history

Keep issues, returns, person transfers, location transfers and state changes connected to the individual item. Review the recorded timeline when a current assignment or condition needs explaining.

For a closer look at item identification and custody, explore the equipment tracking software workflow. For the underlying issue process, see the equipment issue register.

From records to decisions

Choose the report that answers today's question.

Start with the operational question: who has it, what can be issued, or what needs following up? EquipLoop's Reports area offers six views of the records in your workspace, with CSV downloads for reviewing the data in Excel.

01

Current assignments

Who has equipment, when it went out and when it is expected back. Use this view when following up on an open issue.

02

Equipment register

A consolidated view of the recorded equipment. Use it to review asset identities, recorded locations, status and condition.

03

Available equipment

Items currently recorded as available. Check this before issuing equipment, then confirm the physical item is ready for use.

04

Needs attention

Overdue assignments and equipment recorded as damaged, poor, in maintenance or lost. Use the list to decide what to follow up first.

05

People & custody

People in the workspace and the quantity of equipment currently in their care. Use it to prepare for a handover or a return discussion.

06

Movement history

Recorded issues, returns, transfers and state changes over a selected period. Use it to review activity rather than reconstructing events from messages.

Reports reflect recorded activity. Agree who updates handovers and returns, then use physical checks to resolve gaps. A current-looking record cannot account for an unreported move.

One review, clear next steps

Turn a Monday equipment review into action.

Imagine a small business preparing its field team for the week. The equipment administrator checks available tools, follows up on an overdue item and reviews a damaged return before anything else is issued.

The register, assignments and attention views support different parts of that review. Keep the named holder and condition up to date, then use the movement record when someone needs to understand what changed.

  1. 1

    Check the available drill

Confirm that DR-014 is physically in the store, then issue it to the person taking it. Record the condition and expected return.

  2. 2

Follow up on an overdue laptop

Open the assignment to find the recorded holder and due date. Agree the return with that person, then record it when the item comes back.

  3. 3

    Review the laser level's damage

Check the return notes and maintenance status. Keep the unit unavailable until an authorised user records the appropriate condition and status change.

Make the first register manageable

Move from a spreadsheet one useful step at a time.

Choose the equipment that needs individual accountability first. A focused, checked register is easier to keep useful than a long list of items nobody has verified.

01

Prepare your list

Check equipment names, asset tags and serial numbers. Separate identical items if they can be issued to different people.

02

Set up your workspace

Create categories, people and the locations your plan allows. Add the equipment and its individually tracked units.

03

Record a real handover

Issue one item, record who receives it and set an expected return. Scan its QR code to find the record again.

04

Close the loop

Record the return, check the condition and review the history. Use that complete cycle as your team's update routine.

For a simple starting list, read the equipment register setup guide. Export report data as CSV when you need a copy outside the system.

Choose your next step

Follow the equipment workflow your team needs.

Use the same core equipment records across different parts of your business. These pages explain the details for particular teams and tasks.

Is EquipLoop the right equipment system?

It fits teams whose immediate task is maintaining a shared register, recording custody, handling returns and reviewing condition. Try that workflow with real equipment before expanding the register.

Match specialist requirements separately

If you need continuous GPS positions, engine-hour servicing, automated work orders, rental billing or equipment job costing, evaluate those requirements explicitly. A recorded location and maintenance status serve a narrower purpose.

For QR record access and its limits, see QR code asset tracking.

Equipment management software questions

Answers to practical questions about using EquipLoop in your operation.

What is equipment management software?

Equipment management software keeps equipment records and the work around them in one system. In EquipLoop, that includes the register, named holders, recorded locations, issues, returns, condition, history and operational reports. It is designed to help a team maintain a shared record of its equipment.

How is equipment management different from equipment tracking?

The terms overlap. Equipment tracking focuses on identifying an item and keeping its holder, recorded location and movement record current. This equipment management page covers how those records support wider decisions about availability, overdue returns, condition and who needs to take action.

Can South African businesses use EquipLoop?

Yes. EquipLoop offers equipment management for South African businesses, including pricing in rand for visitors identified as being in South Africa. The existing regional pricing system shows USD for other regions. The pricing page sets out the current plan capacities and billing options.

Does a QR code show the live GPS location of my equipment?

No. A QR code opens the equipment record when scanned. The location and custodian reflect the updates your team has recorded. EquipLoop's QR workflow does not provide continuous GPS tracking, geofencing or automatic theft detection.

Can I export equipment reports?

Yes. The Reports area includes CSV downloads for the selected report. You can open those files in Excel for review or sharing. The export contains recorded data; it does not replace a physical equipment check.

Can I use Excel for inventory management?

Yes. Excel can manage a small inventory list if someone consistently records item IDs, quantities, locations and movements. For equipment issued to people, also keep the holder, issue date, expected return and condition. A spreadsheet needs a clear update process when several people handle the same items. EquipLoop adds a shared issue-and-return workflow, individual equipment records, QR access and movement history. Start with the equipment issue register template if a spreadsheet suits your current needs.

Which software is commonly used in inventory management?

Inventory software serves different needs. Zoho Inventory is one example for stock, purchasing and sales-order workflows. EquipLoop focuses on company equipment, named holders, recorded locations, returns and condition. Choose stock-management software when your main task is buying and selling quantities; choose an equipment workflow when your main question is who has a particular item and whether it came back. Check the features against your actual process before choosing.

Is equipment management software free?

EquipLoop has a Free plan with 50 tracked equipment units, 10 people, two EquipLoop users and one location. It includes the core register, issue and return, QR codes, condition and history workflow. Compare the paid plans when you need more capacity or locations.

Does maintenance status include a complete maintenance system?

Maintenance status identifies an item that needs attention. Use condition and status records to flag equipment for review. If your operation needs scheduled servicing, engine-hour triggers, work orders or parts management, evaluate those maintenance requirements separately.

Give every item a clear record

Put your equipment records to work.

Create your workspace, add your first equipment and record an assignment. Give your team a shared place to check availability, custody, condition and returns.
