For South African contractors

Construction Equipment Management Software | EquipLoop

EquipLoop is construction equipment management software for South African contractors tracking tools and site equipment issued to workers. Keep the named holder, recorded location, condition and return history together so your team can follow each item from the store to the job and back.

The person and site answer different questions. Update each record when responsibility or location changes.

Fictional handover example. Location is entered by your team; it is not a live GPS position.
A site name is only half the answer

Know who received it, as well as where it was recorded.

“It's at Site A” does not tell the storekeeper who accepted the tool. “The crew has it” does not identify the physical item. EquipLoop keeps asset identity, named responsibility and recorded location as separate details that your team can check together.

Identify the unit

Give the drill, laser level or generator its own asset tag. Add its serial number where available so two identical items do not share one custody record.

Name the holder

Issue the individual item to an active person. Record the handover date, condition and expected return, rather than relying on a crew name in a message.

Keep the site current

Create locations for the stores and sites your plan allows. Record a location transfer when the item moves, even if the same worker remains responsible.

One drill. A traceable handover.

Follow the tool from the store to the job and back.

This example uses fictional people and equipment to show the recorded steps. It gives the storekeeper and foreman a common process to follow when a tool leaves storage, changes hands or comes back.

Use the same approach for a laser level or an individually tracked generator. If it moves to a second site, record that location change separately from the person responsible.

This multi-location example requires a plan with more than one location. Free includes one; Business includes five.

  1. 01

    Identify the physical item

The storekeeper creates a record for cordless drill DR-014, including its serial number, condition and recorded store location. Another drill of the same model gets its own identity.

  2. 02

Issue it to a named worker

The drill is issued to Example Worker A in good condition, with an expected return date and handover notes. The assignment records responsibility; the location remains a separate detail.

  3. 03

Record its move to the site

An authorised user records a location transfer from the store to Site A. The site describes the recorded location, while Example Worker A remains the custodian.

  4. 04

    Record a change of custodian

If Example Worker B takes over the drill, record a person transfer. That closes the previous assignment and creates the next one. Confirm the new handover details with the receiving worker.

  5. 05

    Record the return and condition

When the drill comes back, the storekeeper records the return. A good-condition return makes the unit available. A poor or damaged return requires a description and moves the unit to maintenance status.

When the handover does not go to plan

Give late, missing and damaged equipment a clear next step.

The routine return is only part of construction equipment control. The useful record is the one your team can still follow when an item is overdue, a worker changes site or equipment comes back with damage.

An item is overdue

Open the current assignment to check the expected return and recorded holder. Use the Needs attention report to review overdue assignments, then contact the responsible person. An overdue record is a follow-up prompt; it does not prove the item is missing.

An item changes hands

Record a person transfer when an assigned unit passes to another active worker. The old assignment closes and the next begins, with a transfer event in history. Confirm the new handover details; a conversation alone does not update the system.

A unit returns damaged

Record poor or damaged condition and describe the fault. The return moves the individual unit to maintenance status and creates a condition report. Review that item before recording a change that makes it available again.

Need to investigate one particular item? See how to track who has specific tools using the asset tag or serial number. For the process behind the records, read how to know who has your construction equipment.

Tools, plant and site equipment

Build the register around the items you need to account for.

Track identifiable physical items from different manufacturers. Use categories to organise the equipment, then separate individual units when they can be issued to different workers.

  • Cordless drills and saws
  • Laser levels and survey tools
  • Generators and compactors
  • Test and measuring equipment
  • Radios and site devices
  • Individually tracked specialist PPE

Agree who updates the record.

Storekeeper: check the item identity, record the issue, confirm the expected return and inspect the condition when it comes back.

Foreman or equipment manager: record changes of worker or location with the appropriate account permissions. Agree how workers report a change while away from the store.

Equipment holder: confirm which physical item was received and report a handover or damage. A holder in the register does not need to be a user who signs in.

A condition record supports follow-up. It does not replace a safety inspection, equipment certification or your site's operating procedures.

Choose the right tracking approach

A shared custody record for your site equipment.

EquipLoop helps your team record who has an item, the site recorded against it and the history behind its condition. Keep that purpose clear when comparing construction equipment systems.

Use EquipLoop for the recorded workflow

Maintain the register, identify individual units, issue and return equipment, record person and location transfers, review condition and movement history, and download operational reports as CSV.

Evaluate fleet requirements separately

A QR label does not report continuous GPS position. The workflow here does not promise telematics, engine-hour servicing, automated maintenance work orders, rental billing or equipment job costing. Check those specialist requirements before choosing a system.

Start small. Keep a useful record.

Start with one store. Add sites as you grow.

Try the issue-and-return process with one recorded location before you extend it to several sites. Choose a paid plan when you need more locations or capacity.

Construction equipment management questions

Answers to practical questions about using EquipLoop in your operation.

What does construction equipment management software do?

Construction equipment management software helps a contractor maintain equipment records and follow what happens to them. EquipLoop focuses on individually identified tools and site equipment, named holders, recorded locations, handovers, returns, condition and history. It gives the team a shared issue-and-return record.

What is construction management software called?

It is often called construction management software or construction project management software. Depending on the product, it can cover project schedules, drawings, documents, costs and site coordination. Construction equipment management software addresses a more specific task: keeping records of the tools and equipment used on those jobs. EquipLoop focuses on equipment identities, named holders, recorded locations, handovers and returns.

What software do builders use?

Builders choose software for different parts of the job. Construction platforms such as Procore cover project workflows; design and BIM tools support drawings and models; accounting systems handle financial records. For tools moving between the store, workers and sites, EquipLoop provides equipment records, assignments, location transfers and returns. Start with the task you need to manage, then check whether a product covers it.

Can I track equipment across several construction sites?

Yes. Create the locations your plan allows and record location transfers for individually tracked equipment when it moves. Keep the named custodian separate from the location. Free includes one location, Business includes five and Pro includes unlimited locations, subject to other plan limits.

Can I record a tool moving between workers without returning it to the store?

Yes. A person transfer for an assigned individual unit closes the previous assignment and creates an assignment for the next active person. The transfer is recorded in the unit's history. A location transfer is a separate action, so a change of worker does not automatically change the recorded site.

What happens if equipment comes back damaged?

For an individually tracked unit, select poor or damaged condition and describe what needs attention when recording the return. The system moves the unit to maintenance status and records the condition report. It does not create an automated repair schedule or certify that the equipment is safe.

Can a foreman manage handovers for the crew?

A foreman with an appropriate equipment-management role can record issues, returns and transfers for active people in the workspace. A viewer has read-only access. Listing someone as an equipment holder does not automatically give that person a login or permission to change records.

Do QR codes track construction equipment automatically?

No. A QR code identifies the individual unit and opens its equipment record when scanned. Your team must record movements and handovers. Continuous GPS, telematics, geofencing and automatic theft alerts are not part of the QR record workflow described here.

Can I manage generators, laser levels and different brands of tools?

Yes. You can create equipment categories and individual records for tools and other identifiable site equipment, including generators, laser levels and compactors. Keep each physical unit's asset tag and serial details distinct. Recording an item does not add machine sensors, run-hour readings or manufacturer integrations.

What is the best free construction management software?

The best free option depends on the task and the plan limits. For tool and equipment issue-and-return tracking, EquipLoop offers a Free plan with 50 tracked equipment units, 10 people, two EquipLoop users and one location. It includes the core register, assignments, returns, QR access, condition and history. If you need project scheduling, drawing coordination, estimating or construction accounting, evaluate software for those requirements separately.

Give every item a clear record

Make the next equipment handover easier to follow.

Start with the tools in one store, record who receives them and keep the return history together. Expand the same process across your sites as your team grows.
