When should the handover take place?

Complete and sign the form at the actual point of exchange, while both parties and the equipment are present. Inspect the item first, record its condition and accessories, resolve any disagreement, and only then sign and provide each party with a copy.

The correct handover sequence

  • Confirm the identity and authority of both parties.
  • Match the serial number or asset ID to the form.
  • Test and inspect the equipment together.
  • Record condition, readings, accessories and any exceptions.
  • Take supporting photographs where appropriate.
  • Both parties sign and receive a copy immediately.

Do not complete it later from memory

A form completed after the equipment has left is less reliable because neither party can verify the original condition or contents. If the recipient is remote, use a live video inspection or a documented delivery-and-acceptance process and record when acceptance occurred.
