Cheap Asset Tracking: Compare Software, QR Codes and GPS Options

Compare cheap asset tracking options for small businesses, from spreadsheets and QR code software to GPS devices. Understand costs, limits and the right fit.

Cheap asset tracking starts with choosing the right kind of tracking. If you need to know who has a laptop and when it is due back, a digital register with QR labels may be enough. If you need a vehicle's position while it moves, you need a location-tracking device and the service that supports it.

Those are different jobs, with different costs. Buying a GPS tracker will not automatically give you a useful handover record. Printing a QR label will not make a drill report its location.

This guide compares the main approaches for a small business. EquipLoop provides equipment records and issue-and-return tracking; we explain where that fits and where a hardware tracker is the better choice.

What do you actually need to track?

Start with the question your team struggles to answer:

  • What do we own? You need an equipment register with unique IDs and serial numbers.
  • Who has it? You need assignments, issues, returns and a clear history.
  • Where was it last recorded? You need reliable location updates whenever an item moves.
  • Where is it physically right now? You may need GPS or a suitable indoor locating system.

A recorded location is only as current as the last update. A device-reported location also depends on the hardware, coverage and update interval. Decide which answer matters before comparing prices.

These are categories, not a ranking. The lowest-cost option for an office equipment register may be unsuitable for a trailer travelling between sites.

Spreadsheets: a low-cost starting point

A spreadsheet can work when the list is short, changes are infrequent and one person keeps it current. Give each physical item its own ID, then record its description, serial number, responsible person, location and condition.

The weakness is usually the process around the file. A row that says “assigned” does not explain when the item was issued, who held it before or what condition it was in when returned. You can add a separate transaction sheet, but somebody has to maintain it.

If you choose this approach, our cheap equipment register guide includes a sample layout and a starter CSV you can use.

QR code software: identify an item and record the handover

A QR code connects the physical item to its digital record. An authorised user scans the label to open the record, then reviews or updates the information through the software's workflow.

For a team issuing laptops, radios or tools, this can address the main problem: knowing who is responsible for each item. You do not need a transmitting device on every asset just to record an issue or return.

Allow for durable labels, suitable placement and a way to replace damaged labels. Keep a readable asset ID beside the code so the item can still be identified if scanning fails.

See how EquipLoop's QR code asset tracking works. It opens equipment records; it does not provide live GPS positions.

Free software and self-hosting: count the operating cost

“Free” can mean a permanent plan, a time-limited trial or software you host yourself. Check which one you are evaluating.

For example, Snipe-IT lists a free self-hosted option alongside paid hosting. With self-hosting, allow time and infrastructure for installation, updates, backups and recovery. That may be a sensible choice if your IT team already runs similar systems.

For hosted software, compare the number of equipment units, people, users and locations included. Also check whether import, export and the handover features you need are available on the plan you intend to use.

Bluetooth and GPS: when you need a physical location

Bluetooth tags and GPS trackers belong in the comparison when locating the item is the actual requirement.

Apple explains that AirTag uses a Bluetooth signal detected by nearby Find My network devices. That illustrates why a network-assisted item tracker should not be assumed to provide continuous live GPS reporting. Other Bluetooth systems may use installed receivers, so compare the specific system rather than treating all tags as equivalent.

For a GPS solution, ask the provider about reporting frequency, local coverage, battery life or power supply, service charges and access for your team. For equipment used on remote sites, ask how the device behaves when connectivity is unavailable.

A business can use both approaches: a location device to help find an item and an equipment register to record who received it and what happened at the handover.

Compare total cost using your own equipment count

Use this calculation for a fair comparison:

First-year cost = hardware + labels + setup + 12 months of software and connectivity + administration.

Then estimate a later year separately, when the initial hardware purchase may no longer apply. Check whether prices include VAT, whether annual billing is required and whether charges are per asset, per user or per organisation.

As an illustration, a service charging R5 per item per month costs R250 per month for 50 items and R2,500 per month for 500 items, before other fees. This is an example calculation, not a provider quote. A flat subscription has a different cost pattern, but you still need to check its capacity limits.

The time spent maintaining records also matters. A cheaper subscription is poor value if your team repeatedly has to reconstruct missing handovers.

Where EquipLoop fits

EquipLoop is designed for tracking company equipment records, assignments, returns, condition and history. It suits teams whose main question is “Who has this item?” rather than “What are its live coordinates?”

The Free plan includes 50 tracked equipment units, 10 people, 2 EquipLoop users and 1 location, with the core issue-and-return workflow and QR codes. An equipment unit is one individually tracked physical item.

Paid plans add capacity and additional tools. Bulk import is available on paid plans, so include that in your decision if you are bringing an existing spreadsheet across. See the current plans and feature comparison before choosing.

Test one complete tracking workflow before committing

Try a laptop, a tool and an item that moves between locations. Add each record, issue it to a person, locate the record from its label and complete a return with condition notes.

Check that another authorised user can understand the result without asking the person who entered it. If you also need physical location reporting, test that separately in the places where the equipment will actually be used.

Choose the approach that answers your operational question at a cost you can sustain. For equipment custody and handovers, create a free EquipLoop workspace and try the workflow with a few real items first.

Common questions about cheap asset tracking

Does a QR code track an asset automatically?

No. A QR label identifies the record when someone scans it. The software and your team's updates maintain assignments, condition and recorded locations. The label itself does not transmit a position.

Can I start tracking equipment without buying GPS devices?

Yes, if you need a register and handover records rather than live location reporting. A spreadsheet or equipment tracking application can record items and responsibility without a tracker on each item.

Is free asset tracking enough for a small business?

It can be, if the plan limits and included features match your operation. Check equipment count, users, people, locations and whether you need bulk import before deciding.
